Keyboard shortcuts for SmartArt graphics

Insert a SmartArt graphic in a Office document
1.     In the Microsoft Office program where you want to insert the graphic, press ALT, then N, and then M to open the SmartArt Graphic dialog box.
2.     Press UP ARROW or DOWN ARROW to select the type of graphic that you want.
3.     Press TAB to move to the Layout task pane.
4.     Press the arrow keys to select the layout that you want.
5.     Press ENTER to insert the selected layout.

Work with shapes in a SmartArt graphic

Apply an effect to a line

Select the line within the SmartArt graphic.
To change multiple lines, click the first line, and then press and hold CTRL while you click the additional lines.

Under SmartArt Tools, on the Format tab, in the Shape Styles group, click the arrow next to Shape Effects.

Change the color or style of a line

  • Select the line within the SmartArt graphic. 


To change multiple lines, click the first line, and then press and hold CTRL while you click the additional lines.
  • Under SmartArt Tools, on the Format tab, in the Shape Styles group, click the arrow next to Shape Outline.

If you do not see the SmartArt Tools or Format tabs, make sure that you selected a SmartArt graphic. You might have to double-click the SmartArt to open the Format tab.

Do one of the following:


  1. Select a color from Theme Colors or Standard Colors.
Tip  To customize your line even further, click More Outline Colors, and then select the exact shade and transparency that you want.

  1. Click Weight, and then select a width for the line., or click More Lines to specify your own width.
  2. Click Dashes, and then select a line style from the list, or click More Lines to create your own style.
  3. Click Arrows, and then select an arrow head from the list, or click More Arrows to customize the arrow.

Tip  Use dotted lines in a hierarchy or radial diagram to show different types of relationship.

Remove invisible digital signatures from Word, Excel, or PowerPoint


  1. Open the document, worksheet, or presentation that contains the invisible signature you want to remove.
  2. Click the File tab. The Backstage view appears.
  3. Click Info.
  4. Click View Signatures.
  5. The document, worksheet, or presentation view returns, and the Signatures pane appears.
  6. Next to the signature name, click the arrow.
  7. From the menu, select Remove Signature.
  8. Click Yes.

Add invisible digital signatures in Word, Excel, or PowerPoint

To protect the authenticity of a document's content, you can add an invisible digital signature. Signed documents will have the Signatures button at the bottom of the document. In addition, for signed documents, signature information appears in the Info section of the Backstage view.

  1. Click the File tab. The Backstage view appears.
  2. Click Info.
  3. In the Permissions section, click Protect Document, Protect Workbook or Protect Presentation.
  4. From the menu, select Add a Digital Signature.
  5. Read the Microsoft Word, Excel, or PowerPoint message, and then click OK.
  6. On the Sign dialog, in the Purpose for signing this document box, type the purpose.
  7. Click Sign.

After a file is digitally signed, the Signatures button appears, and the file becomes read-only to prevent modifications.

Sign the signature line in Word or Excel

When you sign a signature line, you add a visible representation of your signature and a digital signature.
1. In the file, right-click the signature line.

 Note    If the file opens in Protected View, click Edit Anyway, if the file is from a reliable source.

2. From the menu, select Sign.

  • To add a printed version of your signature, type your name in the box next to the X.
  • The signature line
  • To select an image of your written signature, click Select Image. In the Select Signature Image dialog box, find the location of your signature image file, select the file that you want, and then click Select.

 Notes

For customers using Chinese- (Traditional or Simplified), Korean-, or Japanese-language versions, the Stamp Signature Line option appears.

In addition, you can sign a signature line by double-clicking the signature line. Type your name next to the X. Or, in the Signature Pane, in the Requested Signatures section, click the arrow next to the signature. From the menu, select Sign.

  • To add a handwritten signature (Tablet PC users only), sign your name in the box next to the X by using the inking feature.
  • Click Sign.
  • The red Signatures button appears at the bottom of the document or worksheet.

Create a signature line in Word or Excel


  1. In the document or worksheet, place your pointer where you want to create a signature line.
  2. On the Insert tab, in the Text group, click the Signature Line list, and then click Microsoft Office Signature Line.
  3. In the Signature Setup dialog box, type information that will appear beneath the signature line:


  • Suggested signer   The signer's full name.
  • Suggested signer's title   The signer's title, if any.
  • Suggested signer's e-mail address   The signer's e-mail address, if needed.
  • Instructions to the signer   Add instructions for the signer.
  • Allow the signer to add comments in the Sign dialog   Allow the signer to type a purpose for signing.
  • Show sign date in signature line   Signature date will appear with signature.

     4.Click OK.

Tip  To add additional signature lines, repeat these steps.

Note    If the document remains unsigned, the Signatures Message Bar appears. Click the View Signatures button to complete the signature process. Or, in the bar, click the link to go to the Microsoft Backstage view to learn more about permissions, distribution, and versions of this document.

Signature lines in Word and Excel

A signature line resembles a typical signature placeholder that might appear in a printed document. However, it works differently. When a signature line is inserted into an Office file, the author can specify information about the intended signer, and instructions for the signer. When an electronic copy of the file is sent to the intended signer, this person sees the signature line and a notification that their signature is requested. The signer can:

  • type a signature,
  • select a signature digital image, or
  • write a signature by using the inking feature of the Tablet PC.

When the signer adds a visible representation of a signature to the document, a digital signature is added at the same time to authenticate the signer's identity.

Important  A digitally-signed document becomes read-only to prevent modifications.

Reducing risk with digital signatures
Using signature lines in Office 2010 files makes it possible for organizations to reduce risk when you use electronic transactions and to streamline paper processes for contracts or other agreements. Digital signatures provide a record of exactly what was signed and can be verified in the future.

When the signer adds a visible signature to the document, a digital signature is added at the same time to authenticate identity. After a document is digitally signed, it becomes read-only to prevent modifications.

Text Import Wizard

You can use Microsoft Excel to import data from a text file into a worksheet. The Text Import Wizard examines the text file that you are importing and helps you ensure that the data is imported in the way that you want.

Note  To start the Text Import Wizard, on the Data tab, in the Get External Data group, click From Text. Then, in the Import Text File dialog box, double-click the text file that you want to import.



Step 1 of 3

Original data type  If items in the text file are separated by tabs, colons, semicolons, spaces, or other characters, select Delimited. If all of the items in each column are the same length, select Fixed width.

Start import at row  Type or select a row number to specify the first row of the data that you want to import.

File origin  Select the character set that is used in the text file. In most cases, you can leave this setting at its default. If you know that the text file was created by using a different character set than the character set that you are using on your computer, you should change this setting to match that character set. For example, if your computer is set to use character set 1251 (Cyrillic, Windows), but you know that the file was produced by using character set 1252 (Western European, Windows), you should set File Origin to 1252.

Preview of file  This box displays the text as it will appear when it is separated into columns on the worksheet.

Step 2 of 3 (Delimited data)

Delimiters  Select the character that separates values in your text file. If the character is not listed, select the Other check box, and then type the character in the box that contains the cursor. These options are not available if your data type is Fixed width.

Treat consecutive delimiters as one  Select this check box if your data contains a delimiter of more than one character between data fields or if your data contains multiple custom delimiters.

Text qualifier  Select the character that encloses values in your text file. When Excel encounters the text qualifier character, all of the text that follows that character and precedes the next occurrence of that character is imported as one value, even if the text contains a delimiter character. For example, if the delimiter is a comma (,) and the text qualifier is a quotation mark ("), "Dallas, Texas" is imported into one cell as Dallas, Texas. If no character or the apostrophe (') is specified as the text qualifier, "Dallas, Texas" is imported into two adjacent cells as "Dallas and Texas".

If the delimiter character occurs between text qualifiers, Excel omits the qualifiers in the imported value. If no delimiter character occurs between text qualifiers, Excel includes the qualifier character in the imported value. Hence, "Dallas Texas" (using the quotation mark text qualifier) is imported into one cell as "Dallas Texas".

Data preview  Review the text in this box to verify that the text will be separated into columns on the worksheet as you want it.

Step 2 of 3 (Fixed width data)
Data preview  Set field widths in this section. Click the preview window to set a column break, which is represented by a vertical line. Double-click a column break to remove it, or drag a column break to move it.

Click the Advanced button to do one or more of the following:

Specify the type of decimal and thousands separators that are used in the text file. When the data is imported into Excel, the separators will match those that are specified for your location in Regional and Language Options or Regional Settings (Windows Control Panel).
Specify that one or more numeric values may contain a trailing minus sign.

Column data format  Click the data format of the column that is selected in the Data preview section. If you do not want to import the selected column, click Do not import column (skip).

After you select a data format option for the selected column, the column heading under Data preview displays the format. If you select Date, select a date format in the Date box.

Choose the data format that closely matches the preview data so that Excel can convert the imported data correctly. For example:

To convert a column of all currency number characters to the Excel Currency format, select General.
To convert a column of all number characters to the Excel Text format, select Text.
To convert a column of all date characters, each date in the order of year, month, and day, to the Excel Date format, select Date, and then select the date type of YMD in the Date box.
Excel will import the column as General if the conversion could yield unintended results. For example:

If the column contains a mix of formats, such as alphabetical and numeric characters, Excel converts the column to General.
If, in a column of dates, each date is in the order of year, month, and date, and you select Date along with a date type of MDY, Excel converts the column to General format. A column that contains date characters must closely match an Excel built-in date or custom date formats.
If Excel does not convert a column to the format that you want, you can convert the data after you import it.
